QuantumSparc Technologies ("we", "us", "our") operates quantumsparc.com (the "Site"). This policy explains what information we collect, how we use it, and the choices you have. We are based in Kathmandu, Nepal.
1. Information we collect
Contact form
When you submit our contact form, we collect your name, email address, mobile number, subject, and message. We use this information to respond to your inquiry and to follow up on prospective work.
AI Project Brief
When you generate a project brief using the on-site AI consultant, we collect:
- Your name (optional) and email address (required only if you choose to have the brief emailed to you)
- The project intake you fill in — industry, expected scale, desired timeline, and your free-text project goal
- The AI-generated brief itself (title, recommended approach, suggested stack, phases, considerations, next steps)
- A randomly-generated reference token so we can match the brief to any follow-up you send us
Each brief is also saved server-side as a structured record and, once you press Download PDF, as a PDF file under a token-gated URL. We do this so that when you click Discuss this brief, we can attach the same document you saw to the email we receive.
"Discuss this brief" requests
If you send a brief to us for discussion, we additionally collect your name (optional), email (required), phone (optional), and any free-text message. The brief PDF is attached to the internal email we receive.
QuantumPen / inline AI draft assistance
If you use the inline AI assistant on the contact form to draft a message, the subject text you've typed is sent to our AI providers. Your name, email, and phone are not sent to the AI service for these requests.
Information collected automatically
Our server records standard request data — IP address, browser user-agent, request timestamps — for security, abuse prevention, and rate-limiting. We do not use third-party analytics or advertising cookies on this Site.
2. How we use your information
- To respond to inquiries and provide quotes or proposals.
- To operate, maintain, and secure the Site (including rate-limiting and abuse prevention).
- To follow up with you about projects you've engaged us for.
- To comply with legal obligations.
We do not sell your personal information, and we do not use it for behavioural advertising.
3. How long we keep your information
- Contact form submissions are stored in our admin inbox and as a structured record on our server, retained for as long as reasonably necessary to address your inquiry and provide service continuity (typically up to 24 months), after which they may be archived or deleted on request.
- Project briefs (intake + AI output + PDF) are retained server-side for up to 12 months by default so you can refer to them in follow-up conversations. You can ask us to delete a specific brief sooner by emailing contact@quantumsparc.com with the reference number shown on the brief.
- Server access logs are retained for a short rolling window (typically up to 30 days) for security review.
- Rate-limit counters (per-IP submission counts) are short-lived and expire automatically within minutes to hours.
4. Sharing your information
We share information only with the service providers necessary to operate the Site. We do not sell your personal information.
- SMTP / email provider — for sending and receiving contact-form and brief-discussion email (currently Spacemail; configurable by our admin).
- AI providers — to generate AI-assisted content (project briefs, draft messages). Depending on capacity, requests are routed to one of: Google (Gemini API), Cerebras Systems, or Groq. Only the prompt text and the structured project intake (without your contact details) are sent. Each provider's handling of that data is governed by its own terms.
- Our hosting provider — for delivering the Site to your browser.
We may also disclose information if required by law, or to protect the rights, property, or safety of QuantumSparc, our clients, or others.
5. Cookies and similar technologies
This Site does not set tracking cookies. Your browser may store standard caching data for the Site's static assets (images, fonts, styles), and our server may issue a session cookie strictly for security purposes if you interact with our API endpoints.
6. Your rights
Depending on where you live, you may have rights to access, correct, or delete the personal information we hold about you, and to object to or restrict certain processing. To exercise any of these rights, email contact@quantumsparc.com.
7. Children's privacy
The Site is not directed to children under 16 and we do not knowingly collect personal information from them.
8. Security
We use reasonable technical and organisational measures to protect the information you provide — including HTTPS, server-side input validation, and credential isolation. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security.
9. International transfers
Some of our service providers (such as Google) may process data outside Nepal. By using the Site you consent to such transfers, which are governed by the providers' own safeguards.
10. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of this page indicates when it was last revised. Material changes will be highlighted on the Site.
